Time Management for Maximum Efficiency and Minimum Stress

Though they may cover the three R's rather thoroughly in school, they never assign “time management” as a part of the regular scholastic curriculum.  That fact is truly a shame.  Few skills are considered to be more important than the ability to manage time and effectively multitask when needed.

It doesn't matter how skilled you may be at a job, how many qualifications you may have, and how highly recommended you may come, if you procrastinate or can't properly manage your time, you simply cannot make it in today's workplace nor even meet the demands of today's personal life.

If you find that you struggle with time management, or you are seeking to polish your current time management skills, use the following tips:

  1. Deal with your email as soon as you get it.  Learn and build upon the ability to process your emails immediately.  This means that you should answer questions asked, print out reference emails, and if it requires further action, make sure it is added immediately to your to-do list. For this reason, it is important to schedule the checking of emails so that they are not being checked all the time.  Email should be checked frequently and dealt with promptly, but not left open at all times where it will be a distraction.

  2. Realize that very few things can be effectively multi-tasked.  There are a very few things that can be effectively multi-tasked.  Though we may multitask much more than should effectively be done. Typically, multi-tasking is no faster than doing things one at a time and it frequently sacrifices the quality of the tasks.

  3. Know your best working time. Though it is technically possible to work at any time of the day, we each have times when we work our best.  It therefore becomes important that you get to know this time so that you can make sure that all of your most challenging work is done at those times, and any “easier” work can be done at times when you aren't at your ultimate performance time.

  4. Organize your to-do list once or twice every day - whichever works best for you.  Some people find it is best to do this first thing in the morning, while others like to repeat the task halfway through the day to account for any changes that must be made.
